How to write and plan tasks well

Capture everything, fast

More than 2 minutes? Into Daybook right away. Less than 2 minutes? Do it now. Your head is for thinking, not storing.

Write the next physical action

Not "Report" but "Draft section 2 of the Q4 report". Verb + object + result, and fill in Done when… so the finish line is obvious.

Prioritize with the Eisenhower matrix

Do nowToday, yourself
ScheduleBlock time — the most valuable zone
DelegateHand off, set a check-in
Later / maybePark it or drop it

Time-block, don't just list

A task with a date and a start time gets done far more often. Add ~25% buffer to estimates. Deep-focus work goes into your best-energy hours; batch admin into one block.

Daily rhythm (10 min)

Evening: pick tomorrow's 1–3 most important tasks. Morning: check the calendar and protect focus blocks. Leave ~30% of the day unplanned.

Weekly review (Friday, 30 min)

Tick off what's done, reschedule what slipped, clear the "Later" pile, and block next week's "Schedule" tasks first.
